Step 1: Select Your Piece

Browse our collections and complete your purchase securely via the order links found on our website. If you have selected one of our bundle offers (available in sets of 1, 2, 5, or 10 items), a separate creation form is provided for every individual piece in your order. This ensures that each keepsake can be custom-made to a family member's unique personal choice, matching their vision perfectly.

Step 2: Your Personal Creation Form & Inclusion Kit

Within a few days of completing your order, a specialized, perfectly sized Inclusion Kit will arrive safely at your door. Inside, you will find a secure, sealed container for your elements, alongside your official Memorial Keepsake Creation Details Form.

This form is your personal design space where you will fill out your contact details, select your preferred delivery method (including secure Registered Post or personal collection from our private Dublin studio), and confirm your custom design preferences. It allows you to specify exactly whether you are sending cremation ashes, hair, pet fur, or professionally dried flowers, alongside your chosen color palettes and structural requirements. This standard of care ensures every single detail is meticulously captured before crafting begins.

If you are choosing us to preserve your precious funeral flowers, wedding bouquets, or sentimental petals, the preservation journey starts the moment they leave your hands.

Professional Flower Drying Fees

Because professionally extracting moisture requires specialized materials, dedicated studio space, and a strict climate-controlled timeline, a small drying fee applies to all fresh flower preservation orders:

1 to 5 Flowers: €10
5 to 10 Flowers: €20
Full Bouquet / Bunch: €30

Getting Your Flowers to Our Studio

To ensure your flowers are preserved beautifully, time is of the essence. Please send them or bring them to us as soon as possible after your event so they can be preserved at their absolute freshest. You have two options:

Option 1: Postal Service (Pack & Post in a Box)

Keep Them Dry: Do not wrap your flowers in plastic bags, wet paper towels, or tin foil. This traps moisture and causes immediate mould or rot in transit.
Wrap Gently: Wrap the flower heads gently in dry tissue paper or kitchen roll.
Pack Securely: Place them into a sturdy, breathable cardboard box. Fill empty spaces loosely with crumpled newspaper so petals don’t crush.
Post Immediately: Send your box to our private Dublin studio straight away using Registered Post to guarantee tracked transit.

Option 2: Studio Drop-Off

You are welcome to personally drop your flowers directly off at our Dublin studio. This eliminates transit times entirely and ensures your fresh bouquet is placed straight into our care immediately.

Our Meticulous 4-Week Drying Process

Once I receive your flowers at the studio, they enter a dedicated preservation phase:

Individual Inspection: I go through your flowers individually, choosing the most vibrant, structurally sound blooms for your custom design.
WiseDry Silica Compound: I submerge the selected flowers into professional WiseDry silica, which gently extracts moisture while completely preserving the natural shape and structural integrity.
The Dark Room: Your flowers are stored safely in a completely dark, climate-controlled space for exactly 4 weeks. This ensures they are 100% dry and stable before meeting the resin, preventing any colour fading or moisture bloom.

When your Inclusion Kit returns to my private Dublin studio, it enters a space dedicated entirely to them. Before I begin crafting your custom piece, I light a candle and gently talk to the person or beloved pet I am working with.

Your loved one or companion is never treated as a number or a simple order. They are deeply honored, remembered, and held in complete dignity through every single step of the artistic preservation process.

Shipping & Returns Policy

1. Overview

At Keep Me Close Studios, each item is created with extreme care and sensitivity in our Dublin, Ireland studio. Many of our products are bespoke memorial keepsakes made using personal materials provided by you (such as cremation ashes, hair, pet fur, or preserved flowers). This policy explains our shipping process, global shipping destinations, delivery rates, and returns process in a clear and transparent way.

2. Worldwide Shipping Locations & Delivery Rates

We ship locally across Ireland and internationally to all major global destinations. Delivery options and rates are applied at checkout:

Ireland (Domestic Tracked): €9.00 (FREE on orders over €150.00)
UK & Europe (Tracked): €16.00 (FREE on orders over €150.00)
USA & Canada (Tracked): €19.00
Australia & New Zealand (Tracked): €26.00
Rest of World (International Tracked): €26.00

3. Collection & Delivery Options

Collection Pack (Where Applicable)

For memorial resin items that require personal materials (ashes, hair, fur, flowers, or mementos):

A specialized inclusion collection kit and printed Creation Details Form will be posted to your specified delivery address within 24–48 hours of receiving full payment.
This pack includes protective collection pouches, clear instructions, and guidance for safely returning your materials to our Irish studio.

3.2 Returning Personal Materials to Us

You are responsible for safely posting your personal materials to our studio in Dublin, Ireland.
We strongly recommend registered or tracked postage for your peace of mind.
Risk for personal materials remains with you while they are in transit to us.
We accept responsibility and exercise strict care only once materials are physically received by our studio.

3.3 Final Delivery of Finished Keepsake

Once your bespoke keepsake is handcrafted and completed:

You will be notified prior to dispatch.
Finished items are shipped using tracked delivery services. Delivery charges and applicable free-shipping thresholds are applied automatically at checkout.
Risk for the finished item remains with us until it is delivered into your physical possession.

4. Customs, Import Taxes & Duties (International Orders)

For orders shipped outside the European Union (including the United Kingdom, USA, Canada, Australia, New Zealand, and Rest of World):

Customers are responsible for any import duties, customs charges, or VAT levied by their destination country's customs office.
We are not responsible for delays caused by local international customs clearing processes.

5. Returns & Refunds Policy

5.1 Condition & Return Window

Return Window: 14 days from delivery.
Item Condition: All returns or defect claims apply strictly to items in New condition.

5.2 Custom, Bespoke & Memorial Items

Due to the deeply personal and custom nature of our handcrafted work:

Non-defective bespoke, personalized, and memorial items (made using supplied ashes, hair, fur, or flowers) cannot be returned or refunded once production has begun.
Under Irish and EU consumer law, the standard statutory 14-day cooling-off / right of withdrawal period does not apply to goods that are clearly personalized or custom-made to the consumer’s specifications.

5.3 Order Cancellation Before Materials Are Sent

If you wish to cancel your order before sending your personal materials to our studio, you must contact us immediately via email.
If a collection kit has already been dispatched, we reserve the right to retain up to 10% of the order value to cover kit preparation, packaging, administrative, and processing costs.
Once your personal materials have been received at our studio and crafting has begun, cancellation and refunds are no longer possible.

6. Faulty, Damaged, or Defective Items

We accept returns for defective or faulty products:

Return Window: Please inspect your order upon receipt and contact us within 14 days of delivery at keepmeclosestudios@gmail.com if your finished keepsake arrives damaged or faulty due to craftsmanship or materials.

Process & Method: Return requests are handled by mail. Where a genuine defect or fault in workmanship is confirmed, we will provide a return label or reimburse return postage costs and offer a repair, replacement, or full refund processed within 14 days of receiving the returned item.
Return Shipping Fees: Return shipping costs for confirmed defective or faulty items will be fully covered by us.
Exclusions: Defect claims do not apply to natural color, texture, or shading variations inherent in cremation ashes or natural hair/flowers, micro-bubbles inherent in handcrafted jeweler-grade resin, or damage caused by improper care after delivery.
